Privacy policy
This policy explains how ScholaroApp handles information when you visit our website, request a demo, or use our school and coaching institute management services. It is intended to describe our current practices in plain language. Account-specific terms or a data-processing agreement may add detail for a particular institution.
Who this policy covers
For information you provide directly to us through this website, ScholaroApp is responsible for using that information as described here. When a school or coaching institute enters student, parent, staff or academic records into its account, that institution generally decides why and how those records are used. Where applicable law treats the institution as the controller and ScholaroApp as its processor or service provider, we handle those records on the institution's instructions and under the applicable service arrangements.
Information we may collect
- Demo and contact enquiries: name, school or institute name, work email, optional phone number and student-count range, and anything you choose to include in your message. The demo request form is processed by Formspree.
- Service account and support: account and contact details, support correspondence, configuration information and activity needed to provide and maintain the service.
- Institution records: depending on the products and features an institution uses, records may include student and parent contact details, admissions, classes or batches, attendance, fees, assessments, report cards, homework, timetables, transport and documents.
- Technical and usage information: browser and device information, pages visited, referral information, approximate activity and diagnostic logs. Google Tag Manager loads optional measurement and advertising tags only after you accept optional cookies. You can change your choice through Cookie preferences in the footer; see our Cookie Policy.
How we use information
We use information to respond to demo or support requests, set up and operate accounts, provide requested features, communicate about service operation, protect the service from misuse, troubleshoot issues, maintain records, and meet applicable legal obligations. We use website activity information to understand and improve the site where permitted. We do not need student records to answer a marketing enquiry; please do not send student or parent records through the public contact form.
Institutions and children's information
ScholaroApp is designed for schools, tuition centres and coaching institutes and their authorized users. An institution that uploads information about students or other people is responsible for having the authority and legal basis to do so, providing required notices, obtaining any required permissions, and setting appropriate user access. Please contact the institution that manages the account first if you are a student, parent or staff member seeking access to or correction of an account record.
When information is shared
We may use service providers to operate our website, forms, communications, hosting and measurement tools. The website demo form uses Formspree, and the site loads Google Tag Manager. Depending on the product features and institution configuration, other services may be involved in providing file or communication workflows; the providers relevant to a particular account should be confirmed in its service arrangements. We may also disclose information when needed to protect rights or safety, comply with law, or handle a business transfer.
Retention and security
We keep website enquiry information for as long as reasonably needed to respond, maintain business records and meet legal requirements. Institution account records are retained and deleted according to the institution's instructions, applicable service arrangements and legal requirements; backups may remain for a limited period as part of routine recovery processes. We take steps intended to protect information, but no online service or storage method can be guaranteed completely secure.
International processing and your choices
ScholaroApp serves institutions in different locations, and service providers may process information in countries other than yours. Where applicable, we use the transfer and protection arrangements required by law. Depending on your location, you may have rights to access, correct, delete, restrict or object to certain uses of personal information, or to withdraw consent where processing is based on consent. Send requests about website enquiries to info@scholaroapp.com. For information stored in an institution's account, contact that institution; we will assist it as required by our service arrangements.
Changes and contact
We may update this policy as our services or practices change. The date above shows when it was last revised. Questions about this policy can be sent to info@scholaroapp.com or raised through our contact page.
