School Transport Management: Routes, Vehicles, Drivers and Fees
School buses touch safety, parent communication and fees all at once, yet transport records are often kept in a separate notebook or spreadsheet that nobody else can see. Here is how to organise transport so the information is accurate and easy to find.
What you need to track
- Vehicles: registration details, capacity and which driver is assigned.
- Drivers and attendants: contact details and the vehicle or route they cover.
- Routes and stops: the order of stops and which stops belong to which route.
- Students: which route and stop each student uses.
- Fees: the transport charge for each student or route.
Design routes around stops, not streets
Define each route as an ordered list of stops. Students are then assigned to a stop, and the route's passenger list follows automatically. This makes it easy to check capacity and to rearrange routes when students join or leave.
Check capacity regularly
Compare the number of students assigned to each vehicle with its capacity at the start of each term, and any time admissions change. Overloaded routes are a safety risk and a complaint waiting to happen.
Keep transport fees next to tuition fees
When transport charges are tracked in a different place from tuition, dues get missed. Record the transport fee on the same student record so the accounts team sees the whole balance.
Make the information easy to share
Drivers need their route and stop list; the office needs the passenger list; parents need to know which stop and vehicle their child uses. If the data is in one system you can produce each view without retyping.
