Batch Management for Coaching Institutes: Run Batches Without Spreadsheets

A coaching institute is a collection of small classes running in parallel: different subjects, different teachers, different timings. Without a clear structure, batches overlap, attendance goes missing and students end up in the wrong group. Here is a simple structure that scales.

Model your institute as courses, subjects and batches

A course is what a student enrols for. It contains subjects. A batch is a group of students taking that course together, with a teacher and a schedule. Keeping these three separate lets you run the same course in morning and evening batches without duplicating anything.

Give every batch an owner and a timetable

Every batch needs a named teacher, a weekly timetable and a start date. Publish the timetable to teachers and students so there is one source of truth. When a class moves, change it once.

Track attendance per batch

Mark attendance for each session and review it weekly. Repeated absences are the earliest sign a student is about to drop out, and the easiest moment to follow up.

Test regularly and record marks centrally

Set a regular rhythm of tests and assignments. Enter marks into the same system as the student record, so you can produce a progress report without collecting papers from every teacher.

Connect enquiries to enrolment

The batch you can fill depends on the enquiries you can follow up. Record every enquiry, note which course they asked about, and move them to enrolment in the right batch when they join. See how to manage fees once they enrol.

Checklist for a healthy batch

  • A named teacher and a published timetable.
  • Attendance marked at every session.
  • Regular tests with marks recorded.
  • Fee plan attached to each student.
  • A clear owner for follow-ups.
